CASE STUDY · HEALTHCARE · WORKFLOW AUTOMATION
Executive summary
BeCloud built HIPAA Coach because we needed a better way to coordinate our own compliance work. As a managed service provider supporting healthcare organizations, we have HIPAA responsibilities as a business associate. We also saw familiar coordination challenges in the clinics we support: training to track, policies to acknowledge, agreements to manage, risks to address and evidence to retrieve.
We developed an application to support our internal work and address those shared challenges. BeCloud HIPAA Coach brings tasks, ownership and supporting records into a connected workflow. Its broader healthcare capabilities also support clinic-specific work, including patient privacy-notice acknowledgment.
The development story follows the discipline behind our other case studies: understand the work, identify where coordination becomes a burden and build technology around the people responsible for it.
01 · The business challenge
Who coordinates compliance when everyone has a part to play?
Compliance work crosses departments and deadlines. A new employee needs assigned training. A policy needs acknowledgment. An applicable business associate agreement needs review. A risk finding needs an owner and a corrective action. When someone requests supporting records, the organization needs to know where to find them.
We recognized these issues through our internal responsibilities and our work with healthcare clients. The shared challenge was keeping related work connected: what needs attention, who is responsible and which records support the decisions made.
BeCloud and a clinic have distinct roles under HIPAA. Business associates are directly subject to the Security Rule and certain other HIPAA requirements. That shared accountability gave us a practical reason to build the application; each organization still needs workflows appropriate to its own responsibilities.
02 · The workflow analysis
We approached compliance administration as a recurring operating process. Identifying a concern is the beginning. Someone must assess it, decide what to do, assign the work, follow up and keep supporting evidence organized.
That sequence shaped HIPAA Coach. A dashboard provides visibility, while connected records give people a place to carry the work forward.
| Work stage | Coordination burden | Application response |
|---|---|---|
| See | Find status across separate records | A dashboard for training, policies, agreements and risks |
| Assess | Connect a finding to its significance | Risk records with likelihood, impact and assessment context |
| Assign | Clarify who will address the finding | Corrective actions with owners and due dates |
| Follow through | Track training and acknowledgments | Assignments, completion records and reminder settings |
| Retrieve | Bring supporting records together | Evidence-package generation from application records |

03 · The application we use ourselves
BeCloud developed HIPAA Coach and uses it internally to support compliance administration. Internal use gives the product a foundation in work our team understands and performs. It also makes the discussion with healthcare clients concrete: how should technology support the responsibilities people already carry?
The demonstration shows a dashboard, assessment records, corrective-action assignment, staff training, policy acknowledgment, agreement signing, concern reporting and evidence export. These capabilities connect administrative steps without transferring accountability away from the organization.
Watch the workflow
The video demonstrates the application’s broader healthcare capabilities using example records. It includes both shared administrative workflows and clinic-specific patient acknowledgment. It does not establish that every demonstrated feature is used internally at BeCloud.
Application overview · 1 minute 57 seconds. The video’s audit-preparation and patient-completion time claims have not been validated against a documented baseline for this case study. They are not presented here as verified results.
04 · Turning a finding into assigned work
One example in the demonstration makes the development approach tangible: a front-desk screen is visible from the waiting room. The team records the concern, assesses likelihood and impact, and assigns a corrective action to a named person with a deadline.
The important connection is between the finding and the work required to address it. A risk score provides context; an owner and action give the team a way to follow through. People remain responsible for selecting the response and checking whether it addresses the concern.
Other sequences apply the same approach to training and policy acknowledgment. The application records assignments, completion and signatures. Those records support oversight; the organization remains responsible for the appropriateness of its training and policies.
05 · Shared challenges, different responsibilities
Healthcare providers and the partners supporting them need clear ownership and reliable records. Their workflows also differ. The patient privacy-notice sequence is a clinic-specific example: patients can use a QR code to acknowledge receipt on their phone. A clinic still needs assisted options and a way to handle exceptions.
For agreements, the relevant question is which relationships require a business associate agreement and what each agreement must cover. Recording a signature or an expiration date supports administration; the agreement’s terms and the underlying safeguards still require review.
This is the same development direction illustrated in Four Applications. One Patient Conversation. and Stronger Security. Fewer Workarounds. The organization’s operating requirements shape the application.
06 · Where automation helps—and judgment remains
HIPAA Coach’s demonstrated value is coordinating records and actions. Training reminders, acknowledgment workflows and evidence export give technology a specific role in routine administration.
People determine assessment scope, review findings, approve policies, respond to concerns and verify corrective actions. An organized dashboard or generated package supports those decisions. It does not, by itself, establish HIPAA compliance.

07 · Evidence and the next measurement
This case study brings together BeCloud’s account of why we developed and internally use HIPAA Coach with the application workflows shown in the demonstration. The video supports the product story; measured operational results require separate evidence.
The next measurement should compare the time spent retrieving supporting records, following up on training and tracking corrective actions against the prior process. Useful measures include overdue assignments, corrective-action completion and the review work needed after an evidence package is generated. Internal results and clinic results should be reported separately.
A complete security review should also document the deployment’s access controls, logging, data handling and applicable agreements. The interface alone cannot verify those safeguards.
The leadership takeaway
We built HIPAA Coach because we recognized the work from both sides: our own responsibilities as a healthcare technology partner and the coordination challenges in the clinics we support.
That experience shaped a practical development question: which recurring tasks should technology help people coordinate? BeCloud brings healthcare operating experience and development capability to that discussion.
